Privacy Policy

1. Who we are

LIFE OS is a Notion template + AI personalisation service operated by LIFE OS, based in the United Kingdom. Throughout this policy, “we”, “us” and “our” mean the operator. “You” means the person using the service.

2. What we collect

We collect the minimum data we need to deliver and support LIFE OS.

At purchase, via Stripe

  • Your email address
  • Your name, if provided
  • Country and approximate location, for VAT
  • A Stripe customer ID

We never see or store your card details — Stripe handles that directly. See Stripe’s privacy notice at stripe.com/privacy.

When you connect Notion (via OAuth)

  • An access token issued by Notion to LIFE OS, scoped only to pages you choose to share
  • Your Notion workspace name, icon, and workspace ID
  • The bot ID that identifies our connection in your workspace
  • The page ID of the LIFE OS template Notion duplicates into your workspace, if you accept that during install

During the setup wizard, you provide

  • Your name, role, the channels you create on
  • How you want your AI to sound and what rules it should follow
  • Your top three priorities and natural phrasing
  • Optional: a favourite quote, brand outreach preferences, appearance log preferences

Automatically when you visit the site

  • Standard request logs (IP address, user agent, requested URL, timestamp), retained for security and abuse prevention

We do notcollect or store the content of your Notion pages beyond what’s strictly needed to read each LIFE OS SOP page once and write back the personalised version.

3. How we use it

We use your data to:

  • Process your payment and send receipts (lawful basis: contract)
  • Authenticate you to your Notion workspace (lawful basis: contract)
  • Generate the personalised SOPs you asked for (lawful basis: contract)
  • Reply to your support emails (lawful basis: contract)
  • Detect and prevent fraud or abuse (lawful basis: legitimate interest)
  • Improve the product, in aggregate and anonymised form (lawful basis: legitimate interest)

We do not sell your data. We do not use it for advertising. We do not train AI models on your wizard answers or your Notion content.

4. Who we share it with

We use the following processors. Each receives only the data they need:

  • Stripe, Inc. — payment processing. Processes your email, card data, and country.
  • Notion Labs, Inc.— workspace authentication and storage. Processes your OAuth token and any reads/writes to your pages you’ve authorised.
  • Anthropic, PBC — AI personalisation. Receives your wizard answers and the LIFE OS SOP page contents during setup, in order to generate the personalised version that gets written back to your Notion. Anthropic does not retain this data for training under their commercial terms.
  • Vercel, Inc. — hosting. Processes request logs.

Stripe, Anthropic and Vercel are based in the United States. International transfers are covered by the EU/UK Standard Contractual Clauses, which each of these providers have adopted.

5. How long we keep it

  • Purchase records (Stripe): 7 years, to meet UK tax and accounting requirements
  • Notion access token: until you revoke our connection in Notion, or 30 days from your last use, whichever comes first
  • Wizard answers: deleted after the personalised SOPs have been written to your Notion (typically within minutes). They are not retained on our servers.
  • Support emails: 2 years
  • Server logs: 30 days

You can request earlier deletion at any time — see Section 7.

6. Where it’s stored

  • Stripe data: Stripe’s UK and US infrastructure
  • Vercel logs: Vercel’s primary region
  • Notion: stored in your own Notion workspace, on Notion’s infrastructure

We don’t run our own database for customer data. The wizard answers exist only in transit during the setup call.

7. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Restrict or object to certain processing
  • Receive your data in a portable format
  • Withdraw consent (where consent is the lawful basis)
  • Lodge a complaint with the UK Information Commissioner’s Office (ico.org.uk)

To exercise any of these rights, email hello@mylifeos.uk. We respond within 30 days.

8. Cookies

We use the following cookies, all first-party, all functional (no advertising or analytics cookies):

  • lifeos_paid — proves you’ve paid, so you can access the setup wizard
  • lifeos_notion — stores your Notion session so you don’t have to re-authorise on every page
  • lifeos_oauth_state — short-lived security token used during the Notion OAuth handshake

All three are HttpOnly and Secure. You can clear them in your browser at any time, but doing so will sign you out.

9. Children

LIFE OS is not directed to children under 13. We don’t knowingly collect data from children. If you believe a child has provided data, contact us and we will delete it.

10. Changes to this policy

If we change anything material, we’ll update the “Last updated” date and email customers of record. Continued use after a change constitutes acceptance.
